Travel Co-funding

General principles

For GYA members and invited guests, the accommodation in Eindhoven, The Netherlands will be covered by the organization for up to 4 nights (25-29 May, 2016). Your room in the conference hotel will be booked for you upon registration.

Due to limited resources everybody should try to raise their own travel funds. You are encouraged to submit an abstract to present at the conference, especially if this allows you to apply for a grant intended to support attendance at international conferences by local funders in your country.

If you decide to book your flight now and plan to apply for GYA co-funding later, please note that only the cheapest economy class fare is eligible for co-funding and that you can only add five work days (Monday-Friday) of private stay to your business stay (dates of the conference: 25-29 May 2016), weekends not counted.

Please note that reimbursement is contingent on the availability of funds and we can only provide a partial refund of ticket costs. The GYA needs to receive original documentation in order to be able to refund you. The GYA can only refund you after the conference and after having received the required documentation.


Visa and International Travel/ Health Insurance

With regard to visas, please have a look at the website of the Dutch government and visa regulations mentioned by your country’s Dutch Embassy as soon as possible.

In general and for all your international travel, we invite you to consider getting an international travel and possibly also health insurance. Such insurances may be available as annual packages that could be more affordable for frequent travellers than buying an insurance for every international travel.
